Senior Procurement Manager - Ingredients

Why This Role Is Different
Our ingredients are the foundation of the product. Their identity, potency, purity, taste, consistency, availability, and traceability determine whether IM8 delivers on its promise to customers. We use more than 90 ingredients across our current products, with several major launches ahead.
We are building the best products in the category. That starts with sourcing and qualifying the best ingredients, and owning their health from source to stock.
You will build the operating model that connects demand, ingredient requirements, supplier capacity, purchasing, testing, production readiness, and inventory health. Strong safety-stock policies, Kanban systems, and Heijunka planning will give IM8 a disciplined supply system that can scale with demand.
The Opportunity
We are looking for a Senior Procurement Manager, Ingredients — IM8 to lead the sourcing, qualification, and supply strategy for ingredients across our growing product portfolio.
Approximately 80% of your initial mandate will be establishing the future of ingredient procurement at IM8. Our consumable supply network is currently managed largely through contract manufacturers and ingredient brokers. You will start by aligning procurement and material planning with these partners and existing suppliers, then build greater direct ownership where it improves quality, continuity, cost, capacity, or strategic control.
Your mandate: ensure every ingredient is properly qualified, available when needed, healthy in stock, and worthy of the IM8 brand.
Key Responsibilities
Sourcing & Commercial Ownership
Own sourcing and procurement for active ingredients, trademarked ingredients, flavors, excipients, and other consumable raw materials.
Manage ingredient health from sourcing and qualification through ordering, testing, delivery, inventory availability, and consumption.
Lead relationships with ingredient manufacturers, trademark holders, brokers, distributors, and contract manufacturing partners.
Negotiate cost, lead times, minimum-order quantities, payment terms, capacity commitments, allocations, shelf-life requirements, and supply protections.
Build category strategies for high-value, high-risk, and high-complexity ingredients.
Develop direct upstream visibility beyond brokers and contract manufacturers where strategic control is required.
Identify and qualify new ingredient sources that improve product quality, resilience, innovation, or cost.
Material Planning & Inventory Health
Translate finished-goods demand into ingredient requirements across products and manufacturing partners.
Build ingredient supply plans aligned with the Master Production Schedule and product-launch roadmap.
Establish disciplined safety-stock policies based on lead time, demand variability, shelf life, supply risk, and business impact.
Create Kanban systems for ingredients consumed across recurring production runs.
Apply Heijunka principles to level material requirements and reduce reactive ordering, shortages, excess inventory, and expediting.
Monitor ingredient inventory by supplier, contract manufacturer, product, batch, age, and availability status.
Own visibility into ingredient coverage, open purchase orders, testing status, projected consumption, expiration risk, and weeks of supply.
Identify shortages and excesses early enough to take meaningful action.
Balance production protection with inventory investment, shelf life, and working-capital requirements.
Supply Risk & Continuity
Identify single-sourced, trademarked, proprietary, long-lead, capacity-constrained, and geographically concentrated ingredients.
Determine where trademarked or clinically differentiated ingredients require contractual capacity protection, longer-term commitments, or approved alternatives.
Build dual-source and contingency strategies where technically and commercially possible.
Establish risk-based safety-stock and forward-buying policies for critical ingredients.
Secure supply and capacity ahead of product launches, promotions, formulation changes, and major increases in demand.
Maintain a clear ingredient-risk register showing coverage, financial exposure, mitigation plans, owners, and required decisions.
Escalate ingredient risks with specific options and cost-versus-service tradeoffs—not simply report the problem.
Partner with manufacturers to ensure raw-material availability supports planned production dates.
Specifications, Qualification & Quality
Understand what a strong ingredient specification and qualification process looks like and help establish that standard across IM8.
Partner with Product Development, Quality, Regulatory, and contract manufacturers to translate product requirements into clear ingredient specifications.
Ensure specifications protect identity, potency, purity, taste, consistency, stability, safety, and finished-product performance.
Define required certificates, supplier documentation, testing protocols, acceptance criteria, and traceability requirements with the appropriate technical teams.
Evaluate ingredient sources against IM8’s product and brand standards—not procurement cost alone.
Support supplier qualification, sample evaluation, pilot production, testing, approval, and commercialization.
Establish change-control requirements that prevent unapproved ingredient substitutions, specification changes, or manufacturing-process changes.
Ensure approved specifications are implemented consistently across suppliers and contract manufacturing partners.
Partner with ICQA to make sure required testing and documentation are completed and maintained.
Supplier Performance & Continuous Improvement
Build supplier scorecards covering quality, service, cost, capacity, responsiveness, documentation, innovation, and risk.
Lead regular supplier business reviews and corrective-action follow-up.
Assess supplier capacity against IM8’s demand outlook and product roadmap.
Develop a qualified bench of suppliers before shortages or quality failures occur.
Drive continuous improvement with ingredient suppliers, brokers, and contract manufacturers.
Create standard work for sourcing, qualification, purchase planning, supplier changes, and ongoing performance management.
Identify opportunities to simplify the ingredient portfolio or create leverage across products without compromising product quality.
Cross-Functional Execution & Accountability
Partner with Supply Chain Analytics to convert demand into a forward-looking ingredient plan.
Partner with the Head of Manufacturing to connect ingredient readiness to the Master Production Schedule.
Partner with Product Development to source and qualify ingredients for new products.
Partner with Quality and Regulatory to establish specifications, testing requirements, and supplier controls.
Partner with ICQA to execute testing, documentation, inventory holds, and disposition workflows.
Partner with Finance to evaluate working capital, purchase commitments, supplier terms, and the financial impact of supply risk.
Give leadership a clear, decision-ready view of ingredient coverage, risk, and required action.
What Success Looks Like
IM8 has source-to-stock visibility across its ingredient portfolio.
Critical ingredients are available ahead of scheduled production without creating unnecessary excess or expiration risk.
Ingredient inventory is managed through clear safety-stock, Kanban, and replenishment policies.
Single-source, trademarked, long-lead, and capacity-constrained risks are visible and actively mitigated.
Ingredient specifications and qualification requirements consistently protect the quality of the finished product.
Supplier decisions balance quality, scientific integrity, continuity, capacity, cost, and working capital.
New-product ingredients are qualified and secured before they become launch constraints.
IM8 develops upstream supply depth ahead of growth rather than reacting after shortages emerge.
Procurement becomes a competitive advantage in product quality, resilience, innovation, and speed.
Requirements
Meaningful experience purchasing and planning raw ingredients in supplements, food, beverage, pharmaceutical, or another regulated consumable category.
Strong understanding of ingredient sourcing, specifications, supplier qualification, testing requirements, lead times, shelf life, and inventory controls.
Experience owning materials from forecast and procurement through delivery, inventory health, and production consumption.
Demonstrated ability to manage single-source, proprietary, trademarked, or capacity-constrained materials.
Working knowledge of Lean manufacturing and material-flow principles, including Kanban, safety stock, pull systems, and leveled production planning.
Strong commercial judgment with the ability to negotiate supply, capacity, cost, quality, and contractual protections.
Ability to evaluate supply decisions through both a product-quality and financial-risk lens.
Data-driven approach to material planning, supplier management, and decision-making.
Builder mindset: comfortable creating the processes, standards, scorecards, and operating routines rather than inheriting them.
Bachelor’s degree in supply chain, operations, engineering, business, food science, chemistry, or a related field.
Experience working directly with contract manufacturers, ingredient brokers, distributors, and upstream ingredient manufacturers.
ERP, MRP, inventory-planning, and supplier-management system fluency.
Preferred
APICS certification, such as CPIM or CSCP, is a strong plus.
Lean Six Sigma certification or equivalent process-improvement training is preferred.
Experience supporting high-growth DTC, subscription, consumer-health, supplement, food, beverage, or pharmaceutical businesses.
Experience supporting new-product introduction from ingredient selection through commercial-scale production.
