AP Accountant / Assistant Accountant

The Opportunity
We are looking for a detail-oriented and proactive AP Accountant / Assistant Accountant to join our Finance team. The role will primarily support Accounts Payable (AP) and Procure-to-Pay (P2P) activities, while also assisting with general accounting, month-end closing, reconciliations, and other day-to-day finance activities.
Key Responsibilities
Procure-to-Pay (P2P), Purchase Requisitions & Payments
Manage and support the end-to-end P2P process, from Purchase Requisition (PR) and Purchase Order (PO) creation through invoice processing and payment.
Support the Purchase Requisition (PR) process for the Finance and Legal teams, including preparation and submission of PRs, ensuring appropriate supporting documentation is provided, and following up on required approvals.
Track PRs and POs through the approval process and coordinate with internal stakeholders to resolve outstanding approvals, PO, invoice matching, and other P2P-related issues.
Review, code, and process vendor invoices and employee-related claims, ensuring they are properly supported, approved, and recorded in the accounting system on a timely basis.
Prepare payment runs and supporting documentation for review and approval, and ensure payments are processed accurately in accordance with agreed payment terms and internal policies.
Monitor outstanding invoices and AP aging, follow up on overdue or unresolved items, and perform vendor statement reconciliations and investigate discrepancies.
Maintain accurate vendor records and supporting documentation, including vendor creation and approval, and take ownership of the shared Accounts Payable mailbox, ensuring inquiries from vendors and internal stakeholders are responded to and resolved on a timely basis.
Onboard new joiners on the company’s P2P processes, including guidance on Purchase Requisitions, Purchase Orders, invoice submission, approval workflows, payment processes, and relevant Finance procedures.
Act as a point of contact for day-to-day P2P-related questions and support continuous improvements to P2P processes and documentation.
Any ad-hoc work assigned as required time to time.
Accounting & Month-End Closing
Assist with month-end closing activities, including AP cut-off, accruals, prepayments, and other journal entries.
Perform bank reconciliations and investigate reconciling items.
Maintain and track departmental fund utilization, including monitoring balances and movements and providing periodic updates to relevant stakeholders.
Follow up with internal stakeholders to ensure transactions are accurately recorded in the appropriate accounting period.
Assist in maintaining complete and accurate accounting records.
Controls, Audit & Compliance
Ensure proper supporting documentation and approval are maintained for financial transactions.
Assist with internal and external audit requests and preparation of supporting schedules.
Support tax, statutory, and other compliance-related requirements where required.
Follow established finance policies, approval matrices, and internal controls.
Identify opportunities to improve or automate AP and accounting processes.
Requirements
Diploma or Bachelor’s Degree in Accounting, Finance, or a related discipline.
Approximately 2–4 years of relevant accounting experience, preferably with hands-on Accounts Payable, P2P, and month-end closing exposure.
Good understanding of basic accounting principles, including accruals, prepayments, reconciliations, and cut-off.
Experience with ERP/accounting systems; experience with Microsoft Dynamics 365 (D365) and/or NetSuite would be an advantage.
Good Microsoft Excel / Google Sheets skills.
Strong attention to detail and ability to work accurately with high transaction volumes.
Able to prioritize tasks and meet payment and month-end closing deadlines.
Good communication skills and comfortable working with different internal stakeholders and external vendors.
Able to work independently while collaborating effectively within a Finance team.
Preferred
Hands-on, organized, and willing to take ownership of assigned responsibilities.
Proactive in following up and resolving outstanding issues.
Strong problem-solving skills with good attention to financial controls.
Comfortable working in a dynamic and evolving business environment.
Interested in improving processes and reducing manual work.
Experience working across multiple entities, currencies, and/or cross-border transactions would be an advantage.
